SharePoint Workflow Development refers to the creation of a series of automated actions or sequences within SharePoint to help control a business process, such as document approvals, assigning tasks, sending notifications, etc. You can create workflows using SharePoint Designer, Power Automate (formerly Microsoft Flow), or code custom workflows using Visual Studio.

Custom SharePoint workflows automate business tasks using a collection of rules and actions that are triggered when a specified event occurs, such as uploads of documents, change of status, or submissions of a form. Automation means less human intervention, quicker cycle times, less room for mistakes, and better assurance of process flows and transparency.

The time it takes to develop a custom SharePoint workflow depends on the complexity of the workflows. A simple approval or notification can take a couple hours to a couple of days to develop. More complex workflows that involve more steps, custom forms, integrations with external systems, or business rules can take anywhere from 1 to 4 weeks, or longer to develop!

SharePoint allows many different types of workflows to be designed, including approval workflows, document review workflow, task assignment workflows, status monitoring workflows, data collection workflows, and integration workflows that pull the workflow info in from an external system like a CRM or ERP. Workflows can be in a sequential path, or be based on a state machine approach, and when you have tools like Power Automate, you can also build cross-platform workflows with SharePoint and other Microsoft 365 services, or third-party services outside the Microsoft 365 environment.

SharePoint Designer workflows have many disadvantages, including lack of support for complex logic, or any custom script logic, limited error handling, and restrictions on cross-site actions. SharePoint Designer workflows are only designed for SharePoint 2010 Workflow platform and SharePoint 2013 Workflow platform, both of which have been deprecated by Microsoft (2010 – retired; 2013 – phaseout). SharePoint Designer-compatible workflows are limited in the way they can connect to the modern cloud-based services and they may not be supported in the future iterations of SharePoint Online; therefore, they are less future compatible than Power Automate workflows.

SharePoint workflow development services will cost anywhere from $1,000 to over $10,000, depending upon the complexity and scope of the workflow. Simple workflows may cost from $1,000 to $3,000; more complex workflows or custom code workflows combined with some level of integrations with 3rd party applications could cost from $5,000 to $10,000 or more. Prices can also vary based on whether you are using in-house resources, single consultants or organizations that provide professional SharePoint development services, as well as what tools are being used (e.g. Power Automate workflows may be subject to licensing fees).
